The duties and functions of the Match Secretary include:
Terms of Reference To be the single point of contact (inside and outside the club) for all matches (including seniors, vets, juniors, NCL etc) and to ensure that the court allocation rules are complied with. Any non-compliance to be referred back to the chair of the playing and coaching committee for resolution. Actual court bookings to be made via the Administrator.
Accountabilities 1. To obtain copies of all match fixtures for all teams from the team captains or from the authority arranging those matches, including the Berkshire LTA, National Club League, matches for juniors, veterans, mens, ladies, mixed. 2. To be a contact for other tennis clubs playing matches against MLTC and for the authorities arranging matches involving MLTC. 3. To ensure a single up to date list of all fixtures is published on the club notice board and web site and this up to date list which should include all matches scheduled to take place at MLTC. 4. To attend meetings where match fixture dates and times are discussed, such as the mens NCL meeting at the beginning of the season. To work with the relevant Captains including veterans, mens, ladies and junior rep to schedule and reschedule matches in good time. 5. To make all reasonable efforts for matches to be played in the allocated times and for exceptions to be notified to the membership and Club Administrator in good time (at least 3 weeks notice) 6. To play a consultative role for those reviewing court allocation rules on a regular basis. Ensure at least two meetings per year should take place on this subject with the Match Secretary in attendance. 7. To inform the Club Administrator in writing or by email and in good time so that match fixtures can be marked correctly in the booking sheets. 8. To play a leading role in responding to feedback from members relating to match scheduling. 9. Be conversant with all relevant match regulations relating to scheduling including those for County competitions published in the Berkshire LTA Handbook. 10. Attend committee meetings to report on progress of match scheduling for teams and tournaments and assist in general club business. 11. Preparation and presentation of written annual report to the Playing and Coaching Committee Chair.
Success Criteria 1. Few complaints from members. 2. Good feedback from all including the Club Administrator, team captains, junior rep that everyone is clear about when matches will be played and how to resolve exceptions.
